In recent years the Transfer Test - either the AQE or GL (PPTC) version has been used as part of the admissions policy for entry into year 8. In 2020 the Transfer Test did not take place and so this school has developed new criteria for entry into Year 8 in September 2021.

 

These criteria can vary greatly from school to school and you should make yourself aware of all the criteria details as they will determine which children will be admitted to this school in September 2021.

 

Make sure that you provide the school with all the information that they require as the school will use the information that you provide when making their decision about which children are admitted in September 2021.

Open Nights 

For prospective pupils and their Parents/Guardians/Carers:

To Parents/Guardians/Carers naming St Louis Grammar School as a preference on their child’s online Transfer Form/Application or its equivalent. 

 

As a consequence of the decision taken by the Department of Education to close schools in January 2021 the GL Entrance Assessment and the GL Supplementary Entrance Assessment for 2020/21 were cancelled by the Post Primary Transfer Consortium (PPTC). In an unprecedented year, contingency measures have had to be taken by the Board of Governors for transfer to Year 8 in September 2021.  


The school’s Admissions Criteria for Year 8 2021/22 should be viewed as a temporary measure as a result of COVID-19.  

 

Parents/Guardians/Carers whose children have been registered to sit the GL Entrance Assessment in any of the Post Primary Transfer Consortium schools, and who wish to apply for a Year 8 place in St Louis Grammar School, Ballymena, should do so through the normal post primary admissions process as set out by the Education Authority. 


The Education Authority’s online Portal called EA Post Primary Applications opens on Monday, 1st March 2021 at 12pm and closes on Tuesday, 16th March 2021 at 4pm. 

 

The Board of Governors is the relevant admissions authority for the School.  The Board of Governors draws up and approves the Admissions Criteria and delegates to an Admissions Committee – nominated and approved by the Board of Governors, to include the Principal.  Any reference herein to the term the ‘Board of Governors’ includes any Committee or Sub-Committee appointed by the Board of Governors for the purposes of applying the Admissions Criteria set out herein.  The Admissions Committee has responsibility for considering all applications for admission to Year 8.   

 

In determining those children to be admitted to the School, the Board of Governors will consider children who are resident in Northern Ireland at the time of their proposed admission to the School before those children who are not so resident.  

 

SPECIAL PROVISION 

Special Provision will only apply to children who were not entered for the PPTC GL Entrance Assessment because they took up residence in Northern Ireland after 16th October 2020 or received more than half of their primary education outside Northern Ireland.  Claims for Special Provision, verified by the child’s Primary School Principal, should be made on Form SP1 and submitted with the online Transfer Form/Application or its equivalent with independent, verifiable documentary evidence, as appropriate.  


Using the information provided, the Board of Governors will determine whether Special Provision applies.  If it does, those children who the Board of Governors considers to be eligible will be considered under Criterion AC1 of the Admissions Criteria. 

 

Form SP1 is available from the School or its website at www.stlouisgrammar.com.  Parents/Guardians/Carers wishing to claim Special Provision should complete form SP1, available from the School or its website and upload all documentary evidence with the pupil’s online Transfer Form/Application or its equivalent before it is submitted to the Education Authority (Post Primary Admissions).  This should be completed by 4.00 pm on Tuesday 16th March 2021.  


Parents/Guardians/Carers must also email a completed copy of Form SP1 directly to St Louis Grammar School’s email address, mail@stlouisgrammar.com, by Tuesday 16th March 2021.  After 16th March 2021, claims for Special Provision should be made directly to St Louis Grammar School and the Education Authority (Post Primary Admissions) notified.  The final date for receipt of new applications/ additional information is Monday 12th April 2021, no later than 4pm.   

 

ADMISSIONS CRITERIA FOR ENTRY OF PUPILS TO FORM 1 (YEAR 8) IN SEPTEMBER 2021 

 

St Louis Grammar School will give preference to those applicants who had registered to sit the GL Entrance Assessment in any of the Post Primary Transfer Consortium schools or applicants who, in the opinion of the Board of Governors, qualify for Special Provision.  A copy of the applicant’s PPTC Pupil Registration Card for the GL Entrance Assessment must be uploaded with the online Transfer Form/Application or its equivalent. 

 

In the event of the number of children applying exceeding the places available the following criteria will be applied in the order set down.  If the admissions number is exceeded by application of a particular criterion, then the remaining criteria will be used, in turn, to reduce the number of children still being considered for places until the admissions number is reached.  The criteria below will be applied to Temporary Variation requests, if sought, for additional pupils. 

 

AC1 Applicants who were registered to sit the GL Entrance Assessment in any of the Post Primary Transfer Consortium schools or applicants who, in the opinion of the Board of Governors, qualify for Special Provision.  A copy of the applicant’s PPTC Pupil Registration Card for the GL Entrance Assessment must be uploaded with the online Transfer Form/Application or its equivalent.  


AC2 Applicants who have selected St Louis Grammar School as their first preference school. 


AC3 Applicants who, at the date of their application, have a child of the family currently or previously enrolled at the School (within the last 5 years).  Name and year group of present pupil and name/maiden name and dates of attendance of former pupil must be provided.  ("Child of the family" as defined by the Department of Education to include, for example, half-brothers and sisters, together with children who are adopted or fostered and this fact is included on the online Transfer/Application Form or its equivalent or uploaded with it). 


AC4 Applicants:  

(i) who are the eldest* or only child of the family; or 


(ii) where a child is more than five years younger than their next eldest sibling**. 


(iii) where a family has moved residence so that a child who is not the eldest child of the family is the first child of that family to have the practical opportunity to apply to the School.  


(iv) where the eldest child of a family attends a non-mainstream school and the child applying is the next eldest sibling. 


* Twins, triplets, etc. will be entitled to recognition as ‘eldest’ in family if twins, triplets, etc. are the first born to a family. 

** Name and Date of Birth of next eldest sibling must be provided if more than 5 years’ difference and the sibling is not a pupil at St Louis Grammar School. 


AC5 Applicants selected on the basis of age with the oldest applicant being selected first, established by date of birth as entered on a birth certificate.  A copy of the child’s birth certificate must be uploaded with the online Transfer Form/Application or its equivalent (if applicant was not registered for the GL Entrance Assessment with St Louis Grammar School, Ballymena). 


AC6 Where two or more applicants have the same date of birth priority will be given to those applicants who are registered for entitlement to Free School Meals at the time of completing the online Transfer Form/Application or its equivalent or on any date up to and including 12th April 2021, no later than 4.00 pm and who have communicated within their application that they are listed on the EA register as being entitled to Free School Meals.  


AC7 In the event of two or more applicants having the same date of birth and are all entitled/all not entitled to Free School Meals the final selection will be made on the basis of the applicant whose permanent residence is closest to the school gate, such as distance being measured by public road. 

 

NOTES 

It is emphasised that the onus is on the Parents/Guardians/Carers to ensure that all of the above information is provided.  When considering which children should be selected for admission, the Board of Governors will only take into account information which is detailed on or uploaded with the online Transfer Form/Application or its equivalent.  Parents/Guardians/Carers should ensure that all information pertaining to their child and relevant to the school’s Admissions Criteria is stated on the online Transfer Form/Application or its equivalent or uploaded with it.   

 

DUTY TO VERIFY 

The Board of Governors reserves the right to require such supplementary evidence as it may determine to support or verify information on any applicant’s online Transfer Form/Application or its equivalent. 


Parents/Guardians/Carers should note that they may be asked to produce documents verifying information pertinent to the school’s Admissions Criteria.  Original documents are required; facsimiles or photocopies are not acceptable.  


The provision of false or incorrect information or the failure to provide information within deadlines set by the School may result in the withdrawal of an offer of a place or the inability of the School to offer a place.  Similarly, if information is supplied which appears to be false or misleading in any material way, the offer of a place will be withdrawn. 

 

WAITING LIST PROCEDURE FOR ADMISSIONS TO YEAR 8 

St Louis Grammar School retains a Waiting List for admission to the School where a place becomes available in Year 8. 


Parents/Guardians/Carers who wish to have their child considered for admission to the School, in the event of a place becoming available in Year 8, should write to the Principal clearly stating this request. 


In the event of a vacancy arising, after 1st September 2021, the above Admissions Criteria will be applied, in the order set down, to these applications only.  The School will contact Parents/Guardians/Carers in writing if their child gains a place in the School by this method. 

 

If the School’s admissions number has been reached, an application for a child moving into the area can be considered, subject to the Department of Education granting a temporary extension to the admissions number.  

 

If oversubscribed in Year 8 after the School admissions number has been met, the School may approach DE to request a Temporary Variation for additional places, subject to capacity to facilitate those students within existing school accommodation. 

 

FEES 

Parents/Guardians/Carers are requested to make an annual contribution of £100 per pupil, up to a maximum of £200 per family, to help develop existing facilities. There is no capital fee.

Applicants who have a statement of Special Educational Needs will have their applications processed by EA under separate arrangements and are supernumerary to the school’s admissions and enrolment numbers.
